Desta Business Group is seeking to modernize its business operations and enhance operational efficiency through the implementation of an integrated Enterprise Resource Planning (ERP) System. We hereby invite eligible companies with proven experience and competence in the field to participate in this bid.

1. Scope of Work

The successful bidder will be responsible for:

• Providing a suitable ERP software solution along with comprehensive project documentation.

• System Configuration & Customization to align with processes.

• Data Migration from existing legacy systems to the Group's specific business

• Providing comprehensive training for end-users and technical staff, including detailed User Manuals.

• Providing Technical Support and Maintenance for a period of twelve (12) months after full system deployment at no additional cost.

• Performing Quarterly System Health Checks and verifying the integrity of data backups.

• Conducting a formal Presentation/Demonstration of the system's functionality to senior management and the ICT team.

2. Bidder Requirements

Bidders must provide the following legal and technical documentation:

• Renewed Trade License for the 2018 E.C. fiscal year,

• VAT Registration Certificate, TIN Certificate, and a valid Tax Clearance Certificate.

• Proof of experience (Certification) for at least three (3) similar ERP implementations within reputable organizations over the past five (5) years.

• Evidence of being a Certified Partner or authorized agent of the software vendor/manufacturer.

• A detailed proposal addressing all requirements specified in the RFP (Request for Proposal) and a clear project implementation timeline.

• A Module-based Financial Proposal (e.g., Finance, Asset Management, HR, Procurement, etc.) clearly detailing License fees, Implementation, & Training costs. Bidders must be prepared to give a technical presentation to the evaluation

committee upon request.

3. Submission and Purchase of Bid Documents

• Interested bidders can obtain the detailed RFP document from the Head Office by paying a non-refundable fee of ETB 200 (Two Hundred) to 1000271779767.

• Bidders are required to submit their Technical and Financial proposals separately; the Technical proposal must be sent via email as an unprotected PDF file, while the Financial proposal can either be sent as a password-protected PDF via email or submitted in person in a sealed envelope at the company's head office, noting that the password for the electronic financial file will only be requested once the bidder has successfully passed the technical evaluation.

• Bid Bond: Bidders are required to submit a security of ETB 200,000 (Two Hundred Thousand) in the form of a CPO or an Unconditional Bank Guarantee issued in the name of Desta Berhe Welu.

4. Key Dates & Location:

• Bid Closing Date: March 10, 2026, 2026 (30/06/2018 E.C.) at 5:30 PM (11:30 Local Time)

• Bid Opening Date: March 14, 2026 (04/07/2018 E.C.) at 10:00 AM (4:00 Local Time) in the presence of bidders or their legal representatives.

• System Presentation Date: March 13, 2026 (03/07/2018 E.C.).

5. Additional Notices

• The Group reserves the right to accept or reject any or all parts of the bid.

• The bidding process and all subsequent payments shall be conducted exclusively in Ethiopian Birr (ETB).

• The winning bidder must commence full implementation within 5-10 days of the contract award.
