INVITATION to OPEN TENDER FOR Combined Desk

LOCATION: SOS CHILDREN’S VILLAGE’S Mekelle

SUBMISSION DEADLINE: 08 May 2026

SOS Children’s Village, CVW Funded Tigray Humanitarian Response Project, wants to make maintenance and replacement services for Combined Desks with a detailed specification listed here below & invites suppliers who fulfill the following legal preconditions to submit a tender as per the specification details, instructions to bidders, and General Terms and conditions of purchase as described hereunder:

Therefore, those who only fulfil the following mandatory criteria below are cordially invited to participate in the open bid.

1. Possessing a legal trade license in the field of Woodwork materials and submitting a copy of the license.

2. Those who have the newly issued receipt with QR code

3. These who have audited report of 2017 E.C

4. These who have 2018 E.C tax clearance

5. Providing TIN certificate’s visible copy and a VAT registered who have a declaration of 2026 G.C /2018 E.C

6. Those who can provide a legal formal witness letter that the supplier has registered license in the fiscal year to provide similar services

7. Providing all necessary documents with legal stamps and signatures.

8. Price must include logo, transportation and delivery costs (successful bidder is fully responsible for delivery to all designated schools from the center of service/woreda at his/her own cost) and the materials are found at schools of Kola – tembien, Samre and Axum town.

9. The Materials to be maintained shall the same with its original design, with no different size and shape.

10. The winning must make a formal agreement with us seven days from the time he/she is notified as a winner

11. Competitors are expected to take the bidding formats from our office from in working hours.

12. Competitors will be submitting a collateral of Birr 200,000.00 in CPO form written in the name of SOS CHILDREN’S VILLAGES from well-known legal banks on the date of the bid submission.

13. The bid process will be closed on May 08, 2026, at 2:00 pm and open at 2:30 pm in the presence of the bidding parties or with their legal representatives.

14. Supplier responsible for delivery/installation to each school location at his/her own transport cost from the place where they maintained.

15. Our firm will not abide by the bidding process in case any better alternative is found, and this may include fully cancelation.

16. Target Schools & Quantities (Delivery Locations), Deliveries must be made to: Samre, Kolla Temben, and Axum (including named schools below), with quoted prices including transport/delivery, Schools in Axum (Total 1, 312 Combined Desk from Ezana, Aberha-atsebha, bazien, sunshine, emahoy Tutus and other primary Schools adjustable with in Axum town), Schools in Samre (Total 992 Combined Desk from Samre, meda – samre & Dikera primary Schools) and Schools in Kolla Temben (Total 928 Combined Desk from Guya,Mwetsa- werki, semret, begashka and Adissemien Primary schools)

17. The format for filling the price for bid is tabulated here below.

18. Scope of Work (Services)

The contractor shall provide maintenance of combined desks by replacing wooden components only, while preserving existing metal frames and non-wood parts.

Scope includes

  • On-site assessment to verify exact wooden component requirements per desk/school
  • Procurement of wooden replacement parts:
  • Desktops (match existing footprint; dimension 30 inch)
  • Legs / lower set (replacement legs 20-inch compatible joinery
  • Aprons/Supports (15-inch structural replacement members)
  • Anti-rust treatment and finishing for metal frame components prior to installation
  • Sanding and sealing/finishing coats
  • Safe installation and quality checks
  • Painting SOS CVI logo on each maintained combined desk
  • Delivery and installation to each designated school location

19. Technical Specifications (Minimum Standards)

  • Replacements must be compatible with existing metal frames; no irreversible modifications to metal parts
  • Wood type: durable hardwood or engineered wood suitable for classroom environments
  • Finishes: low VOC, child-safe coatings; smooth splinter-free surfaces; rounded edges
  • Fasteners: corrosion-resistant screws/bolts compatible with metal frames
  • Safety: no protruding nails/splinters; stable geometry; improved/maintained ergonomics

20. Quality assurance:

  • fit stability (no wobble)
  • zero defect surfaces
  • safe edges and secure joints
  • Warranty: minimum six months on workmanship and materials for replaced components

6. Implementation Duration

Expected completion within one month from contract award.
